In This Privacy Policy
01 / POLICY SCOPE
Who and What This Policy Covers.
This Privacy Policy explains how Billing Horizon collects, uses, and discloses information in connection with its public website, business inquiries, marketing communications, and related interactions with prospective and existing clients. “We,” “us,” and “our” refer to Billing Horizon.
Patient information handled for a healthcare practice through medical billing or related services is subject to separate obligations, including applicable law, client agreements, and business associate agreements where required. This website policy does not replace those agreements or a healthcare provider’s Notice of Privacy Practices.
Reading this policy or continuing to browse the website does not, by itself, provide consent for a use of information that requires separate consent or authorization.
02 / INFORMATION COLLECTED
Information You Provide and Information Collected Online.
We collect information you choose to provide when you request a consultation, schedule a meeting, submit an inquiry, communicate with our team, or establish a business relationship.
| Category | Examples | Typical purpose |
|---|---|---|
| Business contact details | Name, work email, telephone number, organization | Respond to an inquiry and communicate with you |
| Practice and inquiry context | Specialty, services of interest, systems used, message content | Understand your request and prepare a relevant discussion |
| Scheduling details | Preferred date and time, meeting preferences | Coordinate a requested meeting |
| Website and device data | Browser and device details, cookie identifiers, pages viewed, referral information, interaction events | Operate the website, understand usage, and measure campaigns |
| Business relationship records | Correspondence, agreement details, and service administration information | Manage an engagement and maintain appropriate records |
Our website host and supporting services may also process technical logs, such as IP addresses and request information, for operation and security. The information collected by a specific analytics or advertising tool depends on that tool’s configuration.
03 / HOW INFORMATION IS USED
Use Connected to a Business Purpose.
We use information to respond to requests; arrange meetings; evaluate service needs; administer business relationships; maintain and protect the website; troubleshoot technical issues; understand visitor engagement; and measure the effectiveness of marketing activities.
We may also use business contact information for permitted communications about our services, resources, and company updates. The Marketing Communications section explains available choices. We may retain or disclose information to meet legal obligations, address disputes, prevent misuse, and protect legitimate rights and interests.
04 / COOKIES AND SIMILAR TOOLS
Website Functions, Measurement, and Advertising.
Cookies are small files stored by a browser. Pixels and similar technologies can record page visits or other interactions. These tools may support website functions, usage measurement, and advertising measurement. Some information is collected by third party providers when their tools run on a page.
Website operation
Technical functions and security features that support use of the website.
Analytics
Understanding how visitors reach pages and interact with website content.
Advertising measurement
Connecting campaign activity with website visits and selected interaction events.
Cookie duration and data retention vary by provider, tool, and configuration. Browser controls and the provider choices described below can limit certain collection. Where applicable law requires consent for a technology, the required consent must be obtained before that technology is used.
05 / GOOGLE ANALYTICS
How Google Analytics Is Used.
We use Google Analytics to understand website traffic and visitor interactions, including how visitors arrive, which pages they view, and how they engage with website content. Google Analytics may use cookies and similar identifiers and process device, browser, approximate location, and interaction information.
Google’s handling of data depends on the Analytics settings and applicable terms. Google Analytics 4 does not log or store individual IP addresses, although IP addresses are used during collection. This does not mean that our website host or other tools never process IP addresses.
You can learn more through Google’s explanation of information from partner websites and its Privacy Policy. Google offers an Analytics opt-out browser add-on for supported browsers. That add-on affects Google Analytics measurement; it does not disable Meta Pixel or every website technology.
06 / META PIXEL
How Meta Pixel Is Used.
We use Meta Pixel for advertising measurement and to understand interactions associated with our campaigns. Where configured and permitted, it may also support advertising audiences and the relevance of ads on Meta products.
When the pixel runs, information such as the visited page, selected interaction events, browser or device information, and cookie identifiers may be sent to Meta. Meta may connect information received from participating websites with information associated with a Meta account and use it under its own terms and privacy policies.
Review the Meta Privacy Policy and the advertising preferences available in your Meta account. Provider advertising settings do not necessarily prevent all data collection on our website.
Sensitive information belongs outside advertising tools.
Patient records, diagnoses, treatment details, insurance identifiers, and other protected health information must not be submitted through website inquiry forms or included in analytics or advertising event data.
07 / INFORMATION DISCLOSURES
Providers, Business Needs, and Legal Requirements.
Information may be disclosed to providers supporting website hosting, communications, scheduling, security, analytics, advertising, and business administration, as needed for the relevant purpose. Google and Meta receive information through the tools described above; their own policies and applicable terms also govern their handling of that information.
We may disclose information when required by law or valid legal process, to protect rights and security, or in connection with a business transaction such as a merger, acquisition, or transfer of assets, subject to applicable requirements.
Depending on the law and the tool configuration, disclosures for advertising may be classified as a “sale,” “sharing,” or processing for targeted advertising even when no money is exchanged for the information. See Your Privacy Choices & Requests for information about requesting applicable opt-outs.
08 / MARKETING COMMUNICATIONS
Choose Which Business Updates You Receive.
Where permitted by law, Billing Horizon may contact prospective or existing clients about service options, company updates, requested materials, or other matters relevant to a business relationship.
You can stop promotional email by using the unsubscribe instruction in the message or by contacting our team to request a marketing opt-out. If you receive promotional text messages, the choices in the next section apply. Identify the contact address or number involved without providing patient information.
A marketing opt-out does not necessarily end communications needed to respond to your request, coordinate an existing engagement, provide service notices, address security issues, or meet contractual or legal responsibilities.
Ordinary website contact consent is not a HIPAA authorization. Uses or disclosures of protected health information for marketing must satisfy applicable HIPAA requirements and other law, including obtaining a valid authorization when required. Patient information received for billing services is not available for unrestricted promotional use.
09 / MOBILE PRIVACY AND TEXTS
Separate Texting Choices From a General Inquiry.
Billing Horizon may use contact information to communicate with prospective or existing clients by phone, email, or text message about requested services, meeting arrangements, company information, and other business-related matters, where permitted by applicable law and subject to any required consent. Text message frequency may vary based on the interaction. Message and data rates may apply.
For a text messaging program, follow the opt-out instructions in the message, such as replying STOP where supported, or contact our team and identify the relevant number. Do not send patient records or sensitive health information by ordinary text message.
Consent to receive promotional text messages must be obtained separately where required. Providing a telephone number for an inquiry does not automatically authorize every type of marketing text or automated call. Withdrawing marketing text consent does not necessarily prevent communications separately requested or otherwise permitted by law.
10 / PATIENT INFORMATION
A Website Form Is Not a Patient Record Channel.
Please do not enter protected health information, patient names, medical record numbers, claim documents, insurance identifiers, or system credentials in our public website forms. Those forms are intended for business inquiries.
When we process patient information on behalf of a healthcare client, its use and disclosure must remain within the authorized service purpose, applicable agreements, and legal requirements. A business associate agreement is used where required by HIPAA. The website policy does not expand our permission to use those records.
Patients seeking access, correction, or other rights concerning records maintained for a practice should contact their healthcare provider. We support the provider’s obligations as required by the applicable agreement and law. For more information about our operating standards, see our Compliance & Regulatory Policy.
11 / SECURITY AND RETENTION
Protect Information and Keep It for a Defined Purpose.
Appropriate administrative, technical, and organizational safeguards are required for the information and services involved. No website, communication method, or storage system can be guaranteed completely secure. Use the designated secure channels for client records and sensitive service communications.
Retention depends on the information category, the purpose for which it was collected, business needs, applicable agreements, legal obligations, and any preservation requirement. Information may need to remain in records needed to document an opt-out or resolve a dispute even after a marketing relationship ends.
Website data and patient records do not necessarily follow the same schedule. Retention and disposal of client patient information are governed by the applicable service arrangements and legal requirements; this policy does not establish a universal medical record retention period.
12 / PRIVACY CHOICES AND REQUESTS
Manage Preferences and Request Applicable Rights.
You can use browser settings to manage or delete cookies, review Google and Meta settings, and opt out of promotional communications as described above. Blocking cookies may affect some website functions. An email unsubscribe does not, by itself, disable analytics or advertising cookies.
Depending on your residence, the applicable law, and whether Billing Horizon is subject to that law, rights may include access, correction, deletion, portability, and opt-out of sale, sharing, or targeted advertising. Other rights may include limiting certain sensitive information uses, withdrawing consent, or appealing a request decision.
Submit a request through our Contact page, stating that it concerns privacy and describing the request without including patient information. We may need to verify identity or authority before acting. Requests are assessed under applicable law, including exemptions and retention obligations. Where provided by law, an authorized agent may submit a request with appropriate authority.
Where applicable law requires recognition of Global Privacy Control or another legally recognized opt-out preference signal, that signal must be treated as required by the relevant law. Do Not Track and Global Privacy Control are different browser features; a Do Not Track setting should not be assumed to disable tracking.
Where applicable, individuals may appeal a denied request by contacting us and identifying it as a privacy appeal. Exercising a protected privacy right will not result in unlawful discrimination.
13 / OTHER SITES AND LOCATIONS
Third Party Services and International Visitors.
Links to other websites and services are provided for convenience. Their operators have their own privacy practices, and this policy does not govern information you provide directly to them.
Billing Horizon’s website is directed to healthcare business audiences. Information may be processed in the United States or other locations where the relevant providers operate. Data protection requirements may differ between locations; applicable transfer protections must be considered where required.
The website is not directed to children under 13, and we do not seek information from them through our business inquiry forms. If you believe a child submitted information, contact us so the situation can be reviewed.
14 / CHANGES AND CONTACT
Questions About This Policy.
We may update this policy to reflect changes in website technologies, information practices, or applicable requirements. The update date identifies the current version. Where required, material changes will be communicated through an appropriate notice or consent process.
For a privacy question, marketing opt-out, or request concerning website information, use our Contact page and identify the nature of your request. Existing clients should use their designated service contact and approved channel for confidential engagement information.
Keep the first message limited.
Do not include patient details, passwords, or claim documents in a website privacy inquiry. If sensitive information is needed, the appropriate channel should be established first.
